Privacy policy
Last updated 21 October 2026
You’re trusting us with personal memories at a difficult time. This policy explains, in plain terms, what we do with your information.
1. Who we are
Lantern Film Co is a sole trader business run by Luke Sammut. We are responsible for the personal information described here. You can contact us at [email protected] or on 07471 747531.
2. What we collect
- Contact details: your name, email address and phone number.
- Enquiry and booking details: what you tell us through the enquiry form, email or phone, such as the date, time and venue of the service, the film you choose and any message.
- Your material: photos, video, music choices, names, dates and stories you send us to make the film. This may include photos and video of you, your family and friends.
- Payment records: the amount, the date and who paid.
3. Why we use it
- To make and deliver your film and take payment. This is necessary for our contract with you.
- To answer your enquiries and arrange your booking. This is necessary to take steps you ask for before a contract, and it is in our legitimate interest to run our business.
- To keep accounts and tax records. We have a legal obligation to do this.
We don’t use your information for marketing, and we never sell it.
4. Who we share it with
Only the service providers we need to run the business, such as our email provider, website host, file-sharing service and payment or banking services. They handle your information only as needed to provide their service to us. If you use our enquiry form, it is handled by Web3Forms, a form service that delivers your message to our email inbox. It may store a copy for a short time and process it outside the UK. We share your finished film with a funeral director or venue only if you ask us to. We may also disclose information if the law requires it. If a provider is based outside the UK, we make sure suitable protections are in place.
5. How long we keep it
- Photos, video and other material you send for your film, including our working copies: deleted 30 days after we deliver the film.
- Emails and booking details: deleted 12 months after we deliver the film.
- Enquiry form copies: the form service may keep a copy for up to 30 days. The email we receive is kept as above.
- Invoices and payment records: kept for as long as tax law requires.
6. Your rights
Under UK data protection law you have the right to ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable format. To use any of these rights, email us and we’ll respond within one month. You can also ask us to delete your material sooner than 30 days.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
7. Our website
This website doesn’t use cookies, analytics or tracking. Its enquiry form sends what you type to us through Web3Forms, as described above. If you email or call us, we use the details you give us in the same way. Our website host may keep standard technical logs, such as IP addresses, for security and to keep the site running.
8. Changes
If we change this policy we’ll update the date at the top.
Terms of service
Last updated 21 October 2026
These terms apply when you book a film from Lantern Film Co. By booking and paying, you accept them. Please read them alongside our Privacy policy.
1. Who we are
Lantern Film Co is a sole trader business run by Luke Sammut. You can reach us at [email protected] or on 07471 747531.
2. What we provide
We make a personal tribute film from the photos, video, music and information you send us, You choose the length: up to two songs (around 5 to 6 minutes) or three to four songs (around 10 to 12 minutes), with optional rush delivery within 24 hours for an extra charge. We confirm the price to you in writing before you book.
3. Booking and payment
You book by contacting us with the date, time and venue of the service. We’ll confirm the length, price and delivery time by email, and send you payment details. Payment is due when you book, and your booking is confirmed once we’ve received it. The price we confirm is the price you pay.
4. Your material
You confirm that you’re entitled to share the material you send us and to have it used in a tribute film. We may decline material we can’t lawfully or practically use, and we’ll tell you if so. We work from what you give us, so please check names, dates and spellings carefully.
5. Delivery times
Delivery times run from when we have received your payment and all of your material. If you ask for changes, we’ll agree a revised delivery date with you that still leaves time before the service.
6. Changes
Each film includes one round of changes. A round means one set of requested changes sent together, such as swapping photos, correcting spellings or adjusting captions and music. Further changes may be charged, and we’ll agree the cost with you before doing them. Any mistake we’ve made is put right free of charge and doesn’t count as a round of changes.
7. Delivery and venues
We deliver your film by download link, in the format your venue needs. Please tell us the venue when you book. Some venues have their own file requirements and may check files in advance, sometimes for a fee payable to them. Please check with the venue that they can play the film. We can’t be responsible for the venue’s equipment.
8. Music
You can ask for any song for the service. The film is made for playing at the service and for private viewing by your family and friends. Please don’t upload it to social media or video sites, or share it publicly, as the owners of the music may have it blocked or removed, and we can’t be responsible for that. If the service will be live streamed, or you plan to share the film online, tell us when you book and we’ll use music that can be shared.
9. Cancelling and rescheduling
If the service is postponed, we’ll move your booking to the new date at no extra cost.
You can cancel within 14 days of booking. Because films are usually needed quickly, by booking you ask us to start work straight away. If you cancel before we’ve started, we’ll refund you in full. If you cancel after we’ve started, you’ll pay for the work done up to that point and we’ll refund the rest.
If we can’t deliver in time for the service for reasons within our control, we’ll tell you straight away and refund you in full.
10. If something is wrong
We make every film with reasonable care and skill. If you think there’s a problem with your film, tell us as soon as possible and we’ll put it right or, if we can’t, refund you a fair amount. This doesn’t affect your legal rights.
11. Using your film
You can keep the finished film and share it with family and friends for private use, subject to section 8. We won’t use your film or material to promote our business without your written permission.
12. Our responsibility
We’re responsible for loss or damage you suffer that is a foreseeable result of us breaking these terms or being negligent. Our total liability for anything connected with a booking is limited to the price you paid for it. We’re not responsible for things outside our control, such as problems with a venue’s equipment, internet connection or live stream. Nothing in these terms limits any liability that can’t be limited by law, including for death or personal injury caused by negligence, for fraud, or your legal rights as a consumer.
13. Complaints
If something isn’t right, please email [email protected] and we’ll look into it and reply promptly.
14. General
These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you may also bring proceedings in your local courts. We may update these terms, and the version on this website when you book applies to your booking.
